Submissions may besubmitted manually. Manual submissions must be delivered to the Purchasing Department, in a sealed envelope bythe close date and time stated in this bid event. No fax or email submissions will be accepted. Only one format isneeded. Manual submission shall consist of one (1) original hard copy and one (1) electronic flash drive. For anyquestions, please contact the Purchasing Department at purchasing@galenaparkisd.com.3 Communications StatementContact between vendors and Galena Park ISD personnel during the proposal process or evaluation process isprohibited. Any attempt by vendors during the proposal process to contact district personnel may result indisqualification. All communication shall go through the Purchasing Department during this competitive process. Allquestions received and the corresponding answers will be distributed to all bidders. No verbal responses will beprovided. The deadline for questions about this proposal is stated in the Bid Activities and the district will notrespond to questions after this time and date. Response to questions will be posted in the form of an addendum tothis proposal. The vendors will be responsible for checking the website for any posted addenda.4 Attachments RequiredBe sure to upload all required documents and forms to the "Response Attachments" tab of this bid event.5 Proposal OpeningAny proposal received later than the specified time, whether delivered in person or by any other method shall bedisqualified. Any questions pertaining to the proposal procedures should be addressed to the PurchasingDepartment at purchasing@galenaparkisd.com. If the District office location where bids/proposals are to besubmitted is closed due to inclement weather, natural disaster, or for any other cause including if the electronic bidsystem is unavailable on the due date, the deadline for submission shall be extended until the next District businessday, unless the bidder is otherwise notified by the District. The time of day for submission shall remain the same.6 PART 1.0 - NOTICE OF INTENTIONThe Purchasing Department of Galena Park Independent School District (“GPISD” or the “District”) is conductingthis procurement to establisha comprehensive contract for the ongoing purchase of kitchen equipment parts,refrigeration parts, supplies, and services necessary to maintain and support the Student Nutrition ServicesDepartment's daily kitchen operations across all district campuses throughout the school year. The Initial Term ofthe prospective contract is a period of one (1) year. The District may elect, with mutual agreement of the awardedvendor, to extend any contract awarded pursuant to this procurement solicitation for up to three (3) additional one-year terms (individually, a “Renewal Term”). The maximum duration of any contract resulting from this procurementis a total of four (4) years, running from the date of execution of the contract by the authorized representative of theDistrict. No contract shall be executed until it has been reviewed and approved by the Board of Trustees of theDistrict (“Board”) in a duly called and posted meeting of the Board. This contract can be accessed on an “asneeded” basis from a list of contracts that have been competitively bid and awarded with qualified, highperformance vendors based on the selection criteria set forth herein. Proposers are requested to submit aproposal offering their total line of available products and services that are commonly purchased by governmententities, school districts and other public, not-for-profit agencies and organizations.Product(s) considered for award shall equal or exceed the technical, environmental and performance standardsand specifications as defined within this RFP and further described in the scope and specification section.The good(s) or service(s) to be purchased under the awarded contract, if any, may be of indefinite delivery andindefinite quantity (IDIQ).7 PART 2.0 – PROPOSAL REQUIREMENTSPage 4 of 31 pagesDeadline: 3/24/2026 02:00 PM (CT)RFP 26-008Please read carefully this entire proposal document and specifications.
