RE: Q&A Document
This Q&A document is being issued to address questions that were received from vendors ahead of the question submittal deadline.
Q: Can the District confirm the expected end-user training requirement, including the number of sessions, approximate
duration, location, and expected audience?
A:
Training would be done with 2 Fine Arts Technicians and potentially 3 teachers and 2 administrators, at a date mutually
agreed upon. We would plan on this being a single session, but may be 1 session in each space. We are very familiar with
the QL5, and we don't expect that training session to be much at all. The DM7 console has been installed in other spaces and
we are becoming more familiar with it as it gets introduced more to our program.
Q: Will the awarded vendor be allowed to access/export the existing Yamaha console files before installation so pre-
programming can be completed ahead of cutover?
A:
Yes. All existing consoles will remain in place and operational until removed by the awarded vendor, as part of the Scope of
Work. The vendor will have full access to the consoles to copy and transfer files and information as needed onsite. This can
be previous to the install date, or during the install timeline.
Q: Can the District confirm whether the existing Yamaha QL5 consoles, Dante network, analog cabling, stage boxes, and
connected devices are currently fully operational with no known issues?
A:
All consoles operate 100%. All networks are operating at 100%. There is a known issue about DDM and Yamaha's DM(7)
IP Configuration not working well within its assigned domains. This is being worked on by Yamaha Pro-Audio (Japan) and
a previous vendor. If needed, we can Multicast sends/receives across Dante Domains for functionality. If there is a solution
for this that we have not come across, we welcome any input.
Q: For the “commissioning to existing Dante and Analog settings to mimic existing routing” requirement, can the District
confirm that the intent is to replicate existing routing and functionality only, and not redesign the audio system or
create new scenes/workflows?
A:
It is our intent to keep routing to the existing systems as is. Programming in any other control system (Q-Sys, Crestron...),
except for Dante, is not part of this scope of work.
Q: Will the District provide current Dante Controller files, IP information, device names, console show files, and any
existing documentation for the current systems?
A:
Yes. The Fine Arts Technicians have full access to DDM and Controller to assist with network setup. Previous drawings,
schematics may be available, we would need to consult Technology for any As Builts that may be available.
Q: For Heritage Middle School, can the District confirm that all required network drops, switch ports, Dante network
configuration, and power are existing and owner-provided?
A:
At HMS, all Network drops, switch ports and power are all existing. We will work with technology to have a VLAN setup
for this new Dante location. This will be coordinated to be completed prior to the install window, so we can troubleshoot as
needed once equipment is on-site and installed.
Q: Are any work hour restrictions expected, or can installation take place during normal business hours once scheduled
with Steffen Edwards?
A:
The only restriction that would exist are any events that the respective buildings may schedule before an award is made. We
will block the space once a mutually agreed install time frame has been established, our install drop dead date remains prior
to the beginning of back to work week for staff (Aug 14, 2026). If needed, non-traditional times are available (after school
times, evenings, overnights and weekends) should scheduling become an issue. As we approach that back to school part of

August, pre-school camps and audition sessions will begin in this and the surrounding space. The ability to do work remains,
the ability to make extended noise through the PA/Routing testing would potentially be restricted.
Q: Could you please provide additional clarification regarding the installation requirements for Item #3?Our current
understanding is that Item #3 is intended to be installed into Item #4. Please confirm whether this represents the full
extent of the required installation, or if there are additional installation requirements, components, connections,
mounting details, coordination items, or related scope associated with these items.
A:
Item 3 is the RIO, Item 4 is the Case.
The RIO is not installed into the console, or at the physical console location. The RIO will act as a stage box, connecting via
the Dante Network (existing) from the stage back to the OFE QL5 in the tech booth. The OFE console will take all
connections at its physical location in the tech booth via existing analog cabling.
Item #3 will be / should be installed into item #4.
Q: Can you explain how you plan to use the Yamaha PY-MIDI-GPI midi control card in your application?
A:
The intended application is for external software control programs, such as Q lab.
Q: Page 33 requires the bidder to certify that it is duly licensed in Missouri for the type of work proposed. Would this
requirement be satisfied if Bidder holds the appropriate general contractor or business license and the approved AV
subcontractor holds all trade licenses required for the onsite work?
A:
Yes, this requirement would be satisfied by the scenario you describe above.
Q: The References form asks for organizations that the bidder’s company has provided services to. May Bidder use
relevant project references from the proposed AV subcontractor performing the installation?
A:
Please provide references for Bidder with your bid response since the subcontractor cannot be confirmed at this stage.
Q: Should the proposed subcontractor be identified with the bid, or would Bidder request written subcontractor
approval after award and before work begins?
A:
The subcontractor would need to be identified immediately following the bid award notification so that the subcontractor and
their references can be identified and included in the contract document that will go to Board for approval. That is prior to a
PO being issued.
Q: Wage Order No. 33 is referenced, but the actual wage-order attachment does not appear to be included. Can the
District provide the applicable wage rates and confirm the worker classification expected for the AV installation
work?
A:
Here is the link to Wage Order No. 33. You would need to contact the State of Missouri Prevailing Wage office to determine
classification and wage rate.
