They are each a public school district.Core SpecificationsThe two Districts are seeking quotes for Chromebooks to be used by students. Specifically, thequote must include all of the following four required items:1. Chromebook2. Chrome OS Management License Education3. White Glove Service4. Protective CaseFor the above four items, see the next two pages for key specifications and information foreach of the above items.1. Chromebook• We are seeking quotes for the following model and specifications below: Dell Chromebook 3120 Laptop: Intel N100, 11.6" non-touch screen, 8 GBMemory (RAM), Wi-Fi, Webcam, 65W USB-C power adapter included.Only the minimum no-cost included mail-in warranty is needed; we do not need anextended warranty.While the above model is highly preferred, a vendor can optionally quote a differentbrand and/or model as an alternative and it will be considered.2. Chrome OS Management License Education• The license is for the above Chromebooks3. White Glove Service• The white glove service is for the above Chromebooks, and the vendor shouldspecify what their white glove service includes: Does it include enrollment or not? Does it include OS upgrade or not? Does it include putting on the case or not? Does it include asset sticker tagging or not and does that include ascannable barcode or not? Does it include a spreadsheet or serial and asset number list or not? If the white glove services are “ala carte”, then list all potential optionspriced accordingly that way so the district can select the best choice forthe district. The district does not need laser etching or other branding artwork.4. Protective Case• The case must snap onto the Chromebook; commonly referred to as a “clamshellcase”. It cannot be a sleeve and not be a stick-on case.• We will need to read/scan a barcode on the Chromebook through the case sothe bottom of the case should have some portion (or all of it) as a cleartransparent case mostly free of texture plastic to allow for scanning of a barcodelabel on the bottom of the Chromebook.• The following model is highly preferred: Gumdrop DropTech for Dell Chromebook 3120/3110/3100 (Clamshell) –SKU # 01D020 (https://www.gumdropcases.com/products/droptech-dell-3120-chromebook-clamshell/) While the above model is highly preferred, a vendor can optionally quotea different brand and/or model as an alternative and it will beconsidered.Quantity:We will place two orders as follows (note there are two different delivery addresses):• A total quantity of 285 devices as follows:• An order for 200 devices for Regional School District 19 will be delivered to 1235Storrs Road, Storrs Mansfield, CT 06268. A standard-height loading dock isavailable at this address.• A separate order for 85 devices for Mansfield Public Schools will be delivered to205 Spring Hill Road, Storrs Mansfield CT 06268. There is no loading dock at thisaddress.Proposal Submission Requirements1. The quote must be good for at least 21 days. The quote should specify the length oftime until the quote expires.2. If there are any additional costs for shipping or otherwise, it should be listed on thequote as a shipping and/or handling charge.3. The vendor must explain if the quoted items are either currently in stock and/orcurrently back-ordered with a rough estimate of an anticipated timeline until instock (in both cases, this answer is as of the initial date of the quote).4. Quotes will be accepted in electronic format only to the email address and name onthis RFQ document (see the beginning of this document). Vendors may use a formatof their own choosing for the quote. Questions about the process should be directedto the same email address as well.5. The vendor is responsible for submitting a quote for consideration in a timelymanner with a desired deadline of February 24, 2026, by 11:00AM.Selection ProcessPricing is the driving factor in the selection process; however, it is not the only factor, as thedistricts will consider the vendor’s ability to fulfill this product request. The districts reserve theright to reject any or all submissions, to select an applicant in a manner that is advantageous tothe districts, and to waive all formalities in the bidding. The districts reserve the right to requestadditional information from vendors. The districts reserve the right to potentially modify theabove quantities depending on pricing and available funding. The districts do not expresslystate or imply any obligation to reimburse responding applicants for any expenses incurred inpreparing submissions in response to this request.
