Scope of Services
The School Board of Volusia County, Florida (hereby referred to as the “District”) requires comprehensive multi-function high-volume production printers and service solutions to support its high-volume print operations, generating over 78 million impressions annually with an average monthly output of 6.5 million impressions. The District is seeking proposals that include two solutions from each proposer: one solution detailing the comprehensive cost of leasing and a second outlining the comprehensive cost of buying. The selected solution must demonstrate exceptional reliability, speed, and operational efficiency while maintaining superior image quality throughout sustained peak production volumes. The procurement encompasses both black and white and color production printing capabilities, requiring equipment engineered specifically for continuous high-output environments. All systems must integrate seamlessly into existing production workflows and be supported by comprehensive year-round service contracts, ensuring uninterrupted operations. The selected solution must meet or exceed the minimum specifications outlined in the Scope of Work section in the ITN document.

Questions & Answers
Total: 4Question Date Asked Answer Date Answered Would you consider a Roll to Cutsheet Monochrome Printing Solution with Finishing to match your current workflow driven by WebCrd/Queue Direct?
The Color Solution would be a cutsheet engine based on the outlined specifications.
9/23/2025 8:50:47 AM Good morning Kristine,
I hope your Wednesday is off to a good start. ??
Kristine, would Volusia County Public Schools consider using the T`s and C`s of a cooperative contract instead of the ITN T`s and C`s?
Thank you,
Laura Welborn
Konica Minolta9/24/2025 9:01:47 PM How many total production units are you replacing?
Are you adding a second color unit? If so will it be the same configuration as the other color Canon device?
Will you consider any RIP other than Fiery for color?9/29/2025 1:38:55 PM Do you plan to replace all five units with new models? If not, will buyout to keep numbers be provided for the three leased devices? When are the leases set to expire? Is the awarded vendor expected to return the leased machines back to the leasing company on your behalf if they are not purchased?
During the walk-through, redundancy was mentioned with discussing color. See ITN Sections 3.3.1 and 5.1.2 The ITN uses both singular and plural when talking about color. Do you want one or two units? If the latter, what finishing capabilities are you giving up to squeeze two devices in the area?
ITN Section 4.1 Who is responsible for synching with Rochester Software Associates and the Aleyant Pressero Software platforms? If the new print vendor is responsible, is there support from these vendors or a fee that needs to be included?
ITN Section 6.1 During the walk-through, it was mentioned the shop operates from 5:30 pm on Sunday to 5:30 pm on Friday. Please elaborate on the need for 365 24/7 service. What about holidays?
