addendum is published to the official shared folder containing official Bid Documents for access by qualified bidders.
Each Bidder should insure that all sub-bidders and suppliers have included the information contained in this addendum in
their pricing. The Bid and contract documents are clarified and/or amended as follows:

2. Detail 5/M0.1: Correct the note referencing Sheet M1.0 to reference M1.1. There is no M1.0 sheet in the set.

Review of Bidding Requirements
1) Bids will be received in by Guilford County Schools in conference room 2A at 714 Green Valley Rd. in
Greensboro, NC 27408 until 3:00pm Tuesday December 16, 2025. Bids may be delivered in person, by
mail or by shipping carrier. Faxed or e-mailed bids will not be accepted. Bids will be publicly opened and
read aloud.
2) Bid is formal and will be conducted under the formal procedure.
3) Attendance at the PreBid Meeting is not mandatory but is highly recommended for Bidders to have the
opportunity to ask questions and to become familiar with the existing site and conditions. Lack of familiarity
with existing site or conditions will not be accepted as a basis for adjustments to the contract price. See
contact information appearing later in these minutes to make arrangements for visiting the site after this
meeting.
4) Bids must be submitted in a sealed envelope and marked “Confidential Bid Enclosed for Andrews High
School.
5) Bid is for a single prime contract and all work required for the project is to be included in bid price.
6) Bids will be accepted from licensed contractors only. Bidders must hold the appropriate license for the work
of the project in accordance the NC General Statutes and state licensing boards.
7) A 5% Bid Bond is required to be submitted with the bids.
8) A 100% Performance Bond and Labor and Material Payment Bond will be required for the full amount of
the contract.
9) Include all sales taxes, equipment rentals, supplies, transportation, etc in the bid price.
10) Be sure to complete the Bid Form in its entirety and sign the bid. The signature must be of an officer of the
company or other individual duly authorized to commit the company to a contract.
11) Include the applicable M/WSEDBE forms with the Bid Form. Failure to do so could result in the bid being
ruled non-responsive and possibly rejected. Refer to the section entitled PARTICIPATION BY WOMEN
AND MINORITY OWNED BUSINESSES (DK-P) of the Project Manual for requirements. Be sure to submit
backup documentation to support items claimed for Good Faith Efforts with the Bid. Backup documentation
should be specific and detailed to clearly support the items checked on Affidavit A. Note the 5 documents
with the header stating “Attach to Bid”. All of these sections that are applicable to the bidder’s status must

be completed and submitted with the bid. Guilford County Schools goal for MWSEDBE participation is
12.46%.
12) Note that if you check Items 1 or 7 in the Good Faith Efforts Checklist, all of your supporting documentation
required to demonstrate compliance for these items must be included with your bid. If this documentation
is not submitted with the bid the or is found to be lacking, the points will be deducted from your Good Faith
Efforts score. If your score then falls below 50 points, the bid will be rejected as non-responsive. Items 2-
6 require submittal of support documentation within 72 hours after being notified as being the lowest
responsible responsive Bidder. Bidders are encouraged to obtain the required score utilizing Items 2-
6 or to exceed the minimum score to reduce the likelihood of disqualification due to a deficiency in the
documentation that is required to be submitted if you check Items 1 or 7.
13) Do not modify the Bid Form in any way. Do not include any instructions for changing or interpreting the bid.
The prices listed on the appropriate lines of the Bid Form will be prices submitted for the work. Any
instructions to increase or decrease the amounts listed on the Bid Form will be disregarded and the prices
listed on the Bid Form will be considered as the official bid prices offered. If there is a discrepancy between
the price in numerical figures and the written-word price, the written-word price shall govern.
14) Bidders must make an entry for each of the Subcontractors listed on the Bid Form. Do not leave any of
these lines blank. Enter “N/A” on the lines for any Subcontractor trades that are not used or not applicable
for this project.
15) Alternate bids or unit pricing may be added before bids are received. Provide pricing for each bid alternate
or Unit Price on the appropriate line of the Bid Form. The work in the alternates would either be included
in the initial contract or may be added to the contract scope at the price listed on the Bid Form within 60
days of the contract date. Should the work be added after 60 days from the contract date any changes in
the price for the work will be negotiated based on the original quote and documentation of price increases
or additional work required due to the delay in adding the work to the contract.
16) Currently there are two alternates consisting of the following:
a) Alternate #1: State the price to add to the Base Bid Amount to extend the chiller parts, labor and
refrigerant warranty for years 6 through 10.
b) Alternate #2: State the price to add to the Base Bid Amount for the additional cost to access fourteen
(14) existing air handling units and close the chilled water coil bypass valves including eight (8) units in
mechanical rooms plus six (6) exposed units mounted high in the gym. Include lift rental if required and
floor protection to access the exposed high-mounted gym units.
17) Following receipt of bids, the lowest responsible responsive bidder will be identified by review of the bid
documents who may be contacted for any additional MWBE documentation needed. The project must
then receive Board of Education approval before a contract can be awarded. Upon approval by the
Board to award a contract for the project, the contracts will be delivered electronically to the contractor for
signature, bonds and insurance certificates. Upon receipt of signed contract with bonds and insurance
certificates, the contract will be delivered to the Board for signature.
18) This project is funded from the 2022 School Bond Program funds. There is no federal funding used for
this project.
19) If there is no delay in receipt of bids and no complications with the bids submitted the anticipated date for
Board approval of bids is January 13, 2026, followed by issuance of a contract to the Low Bidder. The
expected date for a fully executed contract is February 12, 2026.
20) The Substantial Completion date for work related to cooling system operation is March 1, 2027 with
liquidated damages of $2,000 per calendar day.

21) The Final Completion Date for the entire project is April 5, 2027 with additional liquidated damages of
$1,000 per calendar day.
22) All Addenda will be published to the Addenda folder in the shared online Project Link and may also be
published to the Purchasing Department website under the GCS bid number 6793 . Bidders will be
responsible for checking the official online Project Link for addenda and ensuring that all subcontractors
and suppliers affected by the information contained in the addenda receive the information. Note the
document in the Project Folder titled “Summary Documentin the link will be maintained to list the Bid Date,
Addenda Issued, and any drawing revisions issued. These documents can be found in the respective folder
in the link. Addenda will not be transmitted individually to Bidders, suppliers, or plan rooms. Ensure that
your subs and suppliers have the latest information when pricing the work. Anyone obtaining information
from sources other than the Project Link does so at their risk of not having the latest information.
23) Note that if there are questions asked that are not addressed in the contract documents or that require
changes or interpretations to the documents, these questions and answers will be published in the
addenda. There will not be a separate document or location to search for questions and answers.
24) Work within utility rooms, and outside the building on the project site can begin after the contract is executed
provided the work does not disturb the educational environment or block access for student pickup or drop
off; scheduled sports activities, maintenance activities or deliveries to the facility. Work in other areas of
the building must be performed after hours, over weekends, school holidays or school breaks unless other
arrangements can be made with staff. No work will be allowed anywhere on the site during school hours
on testing days. Work and building access must be closely coordinated with the school principal or
designated representative. Factor these conditions into the bid price for all work that would be affected.
25) The school campus will be occupied throughout the school year and the site must be maintained in safe
and usable condition for each work day. GCS Staff will be on a 4-day work week (Mon-Thurs) during
Summer Break.
26) The existing chiller must remain in operation until October 15, 2026.
27) The drive and dock area must remain clear for deliveries during working hours throughout the contract
period. Work that would block access must be performed after hours, over breaks, unless it can be
coordinated with staff to occur during the school day.
28) Plans will be submitted to local authorities for permit review by the Contractor. The successful bidder will
submit drawings, pay for and pick up the permits for the project and ensure that all subcontractors obtain
permits that are required.
29) The 2026-2027 school holiday and break schedule for the school is as follows (subject to change if any
weather makeup days are required):
a) August 17:
First day of school for teachers.
b) August 24:
First day of school for students.
c) November 11

d) November 25-27:

e) Dec 21-Jan 2:
