Judicial Suite Signage Docket System - 100 Ridley Ave, LaGrange, Ga 30240
Sealed proposals will be received by Troup County Purchasing Department, in 100 Ridley Avenue, Suite 3100, until 2:00 p.m. at the time
prevailing in LaGrange, Georgia on 5 May 2026 for the Judicial Signage Docket System –ITB (4/3/2026) located at 100 Ridley Ave, LaGrange, Georgia.
At the time and place noted above, the bids will be publicly opened. The exterior of the package must be clearly marked, identifying the name of the
project. All sealed bids shall include a fully completed/executed PROPOSAL FORM. This form is attached, along with the INVITATION TO BID, and
a detailed project proposal demonstrating compliance with the Scope Of Work. The Scope of Work is to include the contractor’s qualifications, a
copy of the contractor’s written warranty covering all labor, instillation, and workmanship. Please include two paper copies and one digital copy
of the bid in the seal packet.
The contract, if awarded, will be on a lump sum basis. No bid may be withdrawn for a period of sixty (60) days after time has been called on the date of the opening.
The project is to be substantially complete in one hundred and eighty (180) consecutive calendar days. Anticipated start date for installation is on or about June 2026.

Mandatory Pre-Bid to be held on 26 FEBRUARY 2026 at 2:00 PM at the jobsite location.
All requests for clarification and/or additional information must be made via email ONLY to Ramona Gillham, Troup County Purchasing
Director, at rgillham@troupcountyga.gov . No phone calls or contacts other
than email are allowed. Contacting any other party prior to the bid opening for clarification and/or additional information will require
that any proposal submitted by said bidder to be declared non-responsive. No requests for clarification and/or additional information will be allowed after 5:00pm, April 28, 2026.

Scope of Work for the Judicial Signage Docket System Project:Offeror shall furnish, deliver, install, configure, and support a turnkey digital docketdisplay system, which is specifically designed for the justice market and shall includethe following.Project ManagementProvide project management services including - the creation and development of anoverall project plan, developed by the offeror and approved by the Court Administrator,which accounts for all the specifications included in the following scope of work.Provide tasks and milestones for this project as further defined in a Project Plandeveloped by the respondent and approved by the Court AdministratorProactively anticipate project deviations and take immediate corrective action.Work together with the Court Administrator(s) and IT department, as needed, toeffectively integrate the software application and hardware with the provided platformand network architecture.Software Solution:Perpetual software and license for Digital Docket Signage for 20 display locationsSoftware, which shall be installed locally on a virtual server provided by the County, shallallow an automated download of docket information from the ICON case managementsystem (CMS) and related software for: the various courts in the county. Below are theminimum technical requirements for the proposed digital docket display system. This list isnot all-inclusive however these features are required of any proposed solution and may befurther refined by the County Court and respondent.• Only perpetual licensed software solutions which can be hosted onsite on thecounty’s server, with no need to connect to a cloud-based solution, will beconsidered.• The court docket data shall be transferred daily CMS as flat files (e.g., Criminal,Traffic and Civil) via FTP.• Ability to import data from a CSV file.Hardware requirements:- Provide, deliver and install (6) LG 55” Commercial Displays with wall mountbrackets- Provide, deliver and install (14) LG 32” Commercial Displays with wall mountbrackets- Provide (20) digital display content players
