Andover RdAndover, KS 67002QUESTIONS ONLY MAY BE DIRECTED TO:Sherame Kneisel, CFOPhone: 316-218-4600Email: kneisels@usd385.orgPROPOSALS / BIDS MUST BE RECEIVED BY:Thursday, December 18, 2025 by 2:00 PM(in person attendance is invited but not required)ANDOVER PUBLIC SCHOOL DISTRICT USD385STATEMENT OF TERMS AND CONDITIONSThe Andover Public School District reserves the right to reject any and all proposals, to waivetechnical defects, and to select the proposal deemed most advantageous to the District.REVIEW PROCESSFollowing the submittal deadline, the proposals shall be evaluated. Vendors will be evaluatedaccording to their response to the Request for Proposal. The District reserves the right to extendany evaluation period beyond specified RFP timeline.QUALIFICATIONS/PROPOSALIn addition to the signed Certification Form, the following information shall be included in theproposal:A. Basic Information:Name of companyThe history, size and organization of the companyDirect mailing addressOverview of company historyB. Name and title of a single point of contact for billing questions.C. Name and title of single point of contact for service questions.D. Summary of proposer’s qualifications, certifications, and other information vendor feelsis pertinent to consideration of the proposalE. Official pricing response.F. Sample Agreement (if applicable)A copy of the formal agreement you may recommend between your company and theDistrictG. References: Include contact name and email address or telephone number. Reference listmust include 3 districts comparable in size to Andover Public Schools for which thecompany has provided the same service in the last year.SUBMITTING A RESPONSEIn submitting a proposal, the Respondent agrees to provide the services outlined in the proposalaccording to the fee structure enumerated in the same proposal. The successful Respondent willprovide a Letter of Engagement for District approval which enumerate the terms of theagreement.The District reserves the right to terminate the relationship with the Respondents at any time andfor any reason.ANDOVER PUBLIC SCHOOL DISTRICT USD385The response shall follow the outline above and be concise. Failure to follow instructions maynullify the response from consideration. To be considered for selection, respondents shouldclearly limit responses to the specific criteria in the order listed. No joint responses (proposals)will be accepted by the District.The deadline for submitting the response shall be in accordance with the notice. Proposalsreceived after this date and time will not be considered.SELECTION CRITERIAProposals will be evaluated to determine which proposal best meets the needs of the District.Evaluation considerations may include the following: prior comparable experience, the vendor'sorganization, size, and structure, qualifications of personnel assigned to work with the District,responsiveness of the written proposal, and fees.TERMINATION:Subject to the provisions below, any contract derived from this Request For Proposal may beterminated by either party upon thirty (30) days advance written notice to the other party; but ifany work or service hereunder is in progress, but not completed as of the date of termination,then said contract may be extended upon written approval of the District until said work orservices are completed and accepted.(a) TERMINATION FOR CONVENIENCEIn the event that the contract is terminated or cancelled upon request and for the convenience ofthe District, without the required thirty (30) days advance written notice, then the District shallnegotiate reasonable termination costs, if applicable.(b) TERMINATION FOR CAUSETermination by the District for cause, default or negligence on the part of the contractor shall beexcluded from the foregoing provision; termination costs, if any, shall not apply. The thirty (30)days advance notice requirement is waived in the event of Termination for Cause.(c) TERMINATION DUE TO UNAVAILABILITY OF FUNDSWhen funds are not appropriated or otherwise made available to support continuation ofperformance in a subsequent fiscal year, the contract shall be cancelled and the contractor shallbe reimbursed for the reasonable value of any nonrecurring costs incurred but not amortized inthe price of the supplies or services delivered under the contract.Andover USD 385 - Band Instrument Bid Response sheetBid Open: Thursday, December 18, 2025 2:00 PMResponses accepted via indicated methods in bid response instructions.
