GROUNDS MAINTENANCE BIDJanuary 28, 2026City of Gallatin1.0 IntroductionThe City of Gallatin is seeking bids for City Hall and City Hall Annex GroundsMaintenance Bids are to be submitted no later than March 13th, 2026, at 2:00 PM in asealed envelope clearly identified “City Hall and Annex Grounds Maintenance” with biddue date and time marked on outside of envelope.1.1 Scope of WorkAwarded contractor shall provide all services mentioned in “Required GroundServices” for Gallatin City Hall, 132 West Main Street, Gallatin TN 37066 andGallatin City Hall Annex, 118 West Main Street, Gallatin, TN 37066.2.0 Vendor Requirements Vendor must complete attached price sheet. Vendor must maintain insurance requirements. Pricing good for 1 year, with a possible one-year extension up to 3 years. All Vendors bidding on this project are required for onsite walk aroundinspections of job requirements with Melissa Milam. Vendor is required to put dates and times that services were done on allinvoices.3.0 Evaluation of ProposalsThe City of Gallatin will award the contract to lowest responsible and responsivebidder meeting specifications, quality, and performance standards pursuant to theMunicipal Purchasing Act of 1983. Response will be based on the followingfactors: Completeness of response Cost Vendor track record, including references Quality of service and product performancePage 1 of 44.0 Contract AwardThe City of Gallatin reserves the right to reject any or all proposals and to waiveany informality found therein. The City of Gallatin will award a contract based onevaluations described above. If the lowest bidder is unavailable when needed, thecity may proceed with the next lowest bidder. Contract will include monthsApril– November.5.0 Required Grounds ServicesBed Management1. All beds shall be kept weed free and maintained every two (2) weeks. Bedsinclude landscape area between City Hall building and sidewalks, raisedmonument bed, 2 flower beds in front of City Hall, City Hall Annex, and theobelisk bed on the corner.2. Beds shall receive 2 pre-emergent herbicide treatments per year and allnecessary post emergent herbicides. Planting of Spring and Fall flowers are to bein this bid as the City will buy the flowers.Shrub Management1. Shrubs should be trimmed in the spring before mulch is installed.2. Shrubs should be trimmed back in late fall/early winter for new spring blooms.Clean Up1. All sidewalks shall be blown of landscape debris at the end of each visit withtrash being removed from the area first.2. All debris shall be removed from the site at the end of each visit unless otherwiseagreed upon for composting on site.3. Leaves shall be removed from beds during all visits for a crisp clean look4. Expansion joints, cracks, and curb lines shall remain weed free.Workmanship1. All work shall be performed in a good and workmanlike manner by skilledexperienced workers. Employees shall be in uniform, with clearly designatedvehicle bearing the company name. Insurance shall be kept current.2.
