Cleaning Services for Oldham County Schools
The Oldham County Board of Education will receive sealed bids for the furnishing of all labor, materials, and equipment for Cleaning Services for Oldham County Schools: Central Office, Administrative Annex, and Transportation Offices FY 2025. Sealed bids will be received until 2:00 P.M., December 1, 2025 at Oldham County Schools, Administrative Annex, 1900 Button Lane, LaGrange, Kentucky 40031, Attention: Stu Martin, Plant & Operations Manager, and then publicly opened and read aloud. NO BIDS RECEIVED AFTER THIS TIME WILL BE CONSIDERED. The Board of Education cannot assume the responsibility for any delay as a result of failure of the U.S. Postal Service or other delivery services to deliver bids on time.
A copy of the bid documents may be obtained by vendors planning on submitting a proposal at the Facilities Management Department, Oldham County Schools, Central Office, 6165 W. Highway 146, Crestwood, Kentucky, 40014, between the hours of 8:00 AM and 4:00 PM, Monday through Friday or by clicking the links below. Any questions regarding this bid shall be directed to Stu Martin at (502) 222-3777 ext. 104.Bids may not be withdrawn for a period of 45 days after the designated time for receipt of bids.Envelopes containing bids must be clearly marked on the outside of the envelope that a bid is enclosed and title of the bid.Bids mailed or delivered by courier shall be inserted into two envelopes, with the inner envelope containing the bid.The Owner reserves the right to accept any bid, to reject any or all bids, to waive any informalities in bids received wheresuch acceptance, rejection or waiver is considered to be in the best interest of the Owner, and to reject any bid whereevidence or information submitted by the bidder does not satisfy the Owner that the bidder is qualified to carry out thedetails of the contract documents.Contract Period - The Oldham County School District is seeking a 1 year contract with an option for 4 additional years.Ninety days before the end of the 1 year contract, the Facilities Department will review the performance of the vendor todetermine the viability of executing the two one-year renewal options. Vendor will be notified of this decision before theend of the 1 year contract term. The Oldham County Schools also reserves the right to cancel the contract at any time, withor without reason, with a 60 day written notice.2 of 3INSURANCE REQUIREMENTSThe Bidder shall at all times during the contract maintain in full force and effect, Employers Liability, WorkersCompensation, Public Liability and Property Damage Insurance, including contractual liability coverage. All insuranceshall be provided by insurers and policy limits acceptable to the Oldham County Schools and before commencement ofservice hereunder, the Contractor agrees to furnish Oldham County Schools with certificates of insurance or otherevidence satisfactory to the Oldham County Board of Education to the effect that such insurance has been procured and isin force. TheOldham County Schools shall be made aware of any policy changes sixty (60) days in advance of the changes.3 of 3REGULATIONSThis Invitation to Bid is issued in accordance with the provisions of the Kentucky Model Procurement Code(KRS 45A) as adopted by the Oldham County Board of Education. All vendors are advised that procurementwill be conducted under these statutes and regulations, which govern competitive sealed bidding, evaluation,award, and contract administration. The Board reserves the right to reject any and all bids and to waive anyinformalities or technicalities in accordance with KRS 45A.365.CHALLENGE OF A BID AWARDA challenge to an award of a bid should be made in writing within 48 hours of the bid opening. Rejection of a bidder orofferer is a drastic action which must be based upon adequate evidence rather than mere accusation. In assessing adequateevidence, consideration shall be given to how much credible information is available, its reasonableness in view ofsurrounding circumstances, corroboration or lack thereof as to important allegations and inferences which may be drawnfrom the existence or absence of affirmative facts.
