TOWNSHIP OF GROSSE ILE – RECREATION DEPARTMENT

RFP DEADLINE: March 3rd, 2026 AT 3:00 P.M.

The Township of Grosse Ile, Michigan (“MI”) Recreation Department, through its Board of Trustees (“Board”) is requesting proposals for the publishing contract rights for the 2026-2027 fiscal year (April 1,2026-March 31.2027).

All proposals must be received by Zaid Beeai, Recreation Director. Each respondent must submit three (3) copies of the Proposal no later than 3:00 P.M. EST on March 3rd, 2026 addressed to: Township Clerk, Township of Grosse Ile, 9601 Groh Rd. Grosse Ile, MI 48138

. All respondents must address all requested criteria in the proposal and meet the Township’s legal and insurance requirements in order to be considered. All RFP must be in a sealed envelope, labeled RFP Activity Guide, Grosse Ile Recreation Department.

Submittal Requirements

Vendor agrees to produce seasonal recreation activity guides, including the design and layout with graphics, photos (stock & township owned) following the specifications listed.

Graphic design professional services: Grosse Ile Township Recreation Department intends to establish a 1-year (fiscal year) term contract with a professional graphic design company to layout and produce a minimum of 2 activity guides per fiscal year. This can also be broken down into bi-monthly guides over the course of the fiscal year.

Design services should include: Template concept, layout/design/digital proofing, print management, print ready PDF’s/Web PDF’s and stock imagery.

Timeline for 2026-2027 fiscal year activity guides:

6 Issues – February, April, June, August, October, December – Mid month production for citizens. June Guide will be largest as it covers summer programming.

Contractor will work with the Recreation Director & Department Staff during the design production schedule dates to proof guides and submit corrections. The Recreation Department will provide the word documents of programs & events. It will be required by the design company to obtain word documents and develop the design and layout. It will be required that the design company proof all word documents for spelling errors/dates/punctuation. Design production dates will be established by the Director and contractor. Final proof of activity guide must be approved by the Recreation Director.

Samples: It will be required that all proposers submit a minimum of 3 samples of work within the last 2 years. It is preferred that at least one sample be from a municipal agency publication.

References: A list of at least 3 client contact names and phone number for whom vendor has produced similar publications.

AWARD CRITERIA:

The contract will be awarded to the bidder whose proposal most lines up with Recreation Department needs and requirements. Consideration will be given to bidders whose samples and references demonstrate they are qualified to perform this work. All bidders will be notified after review from the Community Recreation Commission and approval from the Township Board. Please note that Grosse Ile Township has the final determination on the term of the contract.

The selected vendor will be required to do the following:

1. Provide insurance in the following amounts:

- Commercial general liability coverage, one million ($1,000,000) per occurrence for bodily injury, personal injury, and property damage.

- Automobile liability, one million dollars ($1,000,000) per accident for bodily injury and property damages.

- Worker’s compensation as required by the State of Michigan and Employer’s Liability insurance, one million dollars ($1,000,000) per accident for bodily injury or disease.

- Sign a contract upon selection as the preferred vendor.
